We are looking for a talented Administrative Assistant – Level IV – Facilities to join our Maintenance team at Cummins in San Luis Potosí, SLP, Mexico.
In this role, you will make an impact in the following ways:
Food Service.
- Oversees and monitors the operational performance of the food service provider and related vendors, verifying compliance with Cummins standards, service quality expectations, hygiene and safety controls, and contractual requirements to deliver the best customer experience.
- Monitors the preventive and corrective maintenance plan for the cafeteria and kitchen areas, ensuring that all assets, equipment, and facilities are maintained in good working order to guarantee efficient service.
- Prepare documentation for payments to suppliers, distributors, and other third parties, as applicable; submit the documentation and enter payment requests into the accounting system; respond to inquiries from accounts payable and payees.
- Organize and maintain documentation related to food and coffee services and provide support during internal audit processes by providing documentation and evidence of compliance with safety, health, hygiene, and food safety standards, as well as assisting with the documentation and follow-up of corrective actions.
Record and follow up on service deviation reports submitted by internal clients, ensuring that the food service provider implements corrective actions and that responses are documented and communicated effectively.
- Calculate meal consumption in the cafeteria, send accurate consumption data to the payroll department, and reconcile with the food service provider to verify consistency between employee meal records and the total number of meals billed.
- Record and consolidate supplier KPI results, schedule follow-up meetings with suppliers, document corrective actions, and monitor the improvement plan.
- Request and monitor the microbiological analysis process for food safety control.
- Coordinate and provide support for special events involving meals and catering services for internal clients or executive visitors, ensuring excellent service delivery and the best possible customer experience.
- Manage the coffee service and vending machines, ensuring they operate properly, are kept clean, and are always available to internal users.
- Generate, process, and monitor the documentation required for the payment of services to suppliers, including purchase orders and invoices, ensuring timely processing, end-to-end traceability, and compliance with contracts, scope, and the approved budget.
- Provide administrative support by conducting research, preparing statistical reports, and consolidating operational and financial data into periodic reports to support management’s review and decision-making.
- Contribute to expense consistency by maintaining accurate records of food service, vending machine, coffee service, and cafeteria operations expenses; reviewing variances between the budget and invoices; reporting on deviations; coordinating follow-up with suppliers as needed; and submitting monthly accruals to the finance department.
Transportation Services.
- Implement a monitoring protocol to ensure the safety of employee transportation, verifying the application of controls such as pre-trip vehicle inspections, driver certification, and compliance with rest periods; adherence to the GPS route; testing of the panic button and communications systems; seatbelt use and record-keeping; and timely reporting and follow-up on incidents; Consolidate weekly dashboards to track compliance and corrective actions.
- Plan and oversee the overtime transportation service program, ensuring timely coordination and effective follow-up to guarantee service availability and compliance with operational requirements.
- Collect, compile, and verify information, and accurately enter it into documents, databases, or information systems used to manage and assign transportation routes for Cummins personnel, ensuring data accuracy, timely updates, and proper integration with operational requirements.
- Maintain constant communication with transportation providers to ensure compliance with service requirements and timely coordination. Additionally, promptly receive and address any service-related incidents requiring immediate attention.
- Support expense consistency by maintaining accurate expense records employee transportation services, reviewing discrepancies between the budget and invoices, reporting on variances, coordinating follow-up with vendors as needed, and submitting monthly invoices to the finance department.
Requirements:
- 1 to 2 years of experience in the hospitality industry or a related field involving food services and employee transportation.
- Current or completed studies as a nutritionist or knowledge of food safety and hygiene controls.
Education, Licenses, and Certifications:
Bachelor’s degree in nutrition or culinary arts, or a certificate, or equivalent experience that complies with current regulations.
Experience:
Extensive work experience and in-depth knowledge acquired through specialized training and relevant experience.
