The Role
We're hiring an Executive Assistant to support our leadership team: the CEO, Chairman, and COO. This is not a traditional admin role. It's a leverage role. Your job is to protect leadership time, reduce friction, anticipate needs, and keep the leadership team operating at peak efficiency.
You'll be based in our Pittsburgh office alongside leadership, finance, and operations, so you're close to the people and the work.
Location & Hours
- Based in our Pittsburgh, PA office, in person
- Full-time, aligned to US Eastern hours
- Comfortable supporting leadership remotely during travel when needed
What You'll OwnLeadership Support & Time Protection
- Own calendars for the CEO, Chairman, and COO with a focus on priority, flow, and leverage
- Filter inbound requests and communications to protect leadership focus
- Ensure meetings are intentional, prepared, and outcome-driven
- Design forward-looking "perfect weeks" with 4 to 6+ weeks of visibility
Communication & Coordination
- Manage inboxes and internal communications with clarity and discretion
- Draft responses on behalf of leadership when appropriate
- Act as a connector between leadership and internal teams
- Track follow-ups, action items, and commitments so nothing drops
Meetings, Travel & Logistics
- Schedule leadership meetings with clear agendas and context
- Coordinate complex international and multi-leg travel for senior executives, including itineraries, events, and off-site commitments
- Maintain clean documentation, itineraries, and calendar detail
- Anticipate conflicts, delays, and issues before they become problems
Contracts & Legal Admin
- Coordinate contracts and legal admin with outside counsel: track status, chase signatures, organise the contract library, and flag deadlines and renewals
- Coordination only. This is not a legal role and does not involve reviewing, drafting, or negotiating
Operational Leverage
- Help leadership stay focused on revenue-driving and strategic priorities
- Track key projects, deadlines, and moving pieces, and surface issues early
- Create checklists and SOPs as the role evolves
- Be a present, trusted pair of hands in the office, helping the team where useful (secondary to protecting leadership time)

- Leadership spends more time on strategy, product, and growth
- Fewer interruptions, fewer dropped balls, faster execution
- Leadership trusts that it's handled without needing to check
Who You Are
- 5+ years supporting senior leaders (CEO, COO, or Founder)
- Exceptionally organised, with strong written and verbal communication
- A proactive thinker who anticipates needs rather than reacting
- Excellent at coordinating complex, international travel
- Comfortable with confidentiality and high-trust environments
- Tech-savvy (Google Workspace, Slack, project and calendar tools; AI tools a plus)
- Calm, professional, and detail-oriented
- Based in or able to relocate to the Pittsburgh area
- Finance-literate and comfortable with numbers and basic finance admin (expense tracking, invoice chasing) is a plus, not a requirement. This is not a bookkeeping role.
Compensation
- $60,000 to $85,000, based on experience
- In-office, Pittsburgh, PA
