You will be the key piece in connecting our team. You will directly support the implementation of the internal communication strategy and employee engagement, while providing vital support in the administrative control, tracking, and coordination of our site's logistics and customs operations.
1. Internal Communication and Engagement (Organizational Culture):
Point of Contact: Support as the site communication liaison and collaborate with the needs of different departments.
Communication Plan: Collaborate in executing internal events, article releases, monthly meetings, and updating digital tools like Internal Portal
Monitoring and KPIs: Assist in collecting data and metrics (Pulse surveys, click tracking) for continuous improvement.
Events and Well-being: Participate in organizing working groups focused on improving working conditions and promoting a collaborative environment.
2. Logistics and Import/Export Support:
Operational Tracking: Perform daily administrative tracking of import and export operations status to ensure accurate shipment tracing.
Document Control: Maintain and update shipping records, verifying consistency among invoices, transport documents, and internal systems. Assist in generating proforma documents via VDocs.
Customs Classification: Prepare customs classification formats in Excel and research product characteristics through the analysis of invoices and provided links.
Finance and Costs: Monitor import-related costs (taxes, freights) through Excel reports and assist in the monthly reconciliation of expenses with the Site Financial Controller .
On-site Support: Handle the physical, in-person receipt of packages and materials at the site, coordinating daily communication with engineers, suppliers, and customs brokers.
Active Students: Pursuing degrees in International Business, Business Administration, Organizational Communication, International Relations, or related fields.
Languages: Fluent English (essential) , as you will be working with global guidelines.
Availability: Full-time
Tools: Intermediate to advanced Microsoft Excel skills (for report and budget control).
